Quotes in minutes, not at midnight
Turn a quote request into an accurate draft you review and send, using your own price list and past jobs.
- Time
- One afternoon
- You'll need
- Your price list · Ten past quotes · An AI assistant · Your quoting or invoicing software
- You'll end up with
- A repeatable way to go from request to reviewed quote in under 15 minutes.
The steps
- 01
Collect ten good past quotes
Pick quotes that won, across your common job types. Together with your price list, they teach the assistant how you price, word and structure a quote.
- 02
Write your quoting rules
Minimum charges, travel, rush fees, markups, what's always excluded. Rules you carry in your head are the ones that go wrong.
- 03
Draft from the request
Paste the customer's request with your rules, price list and examples. Ask for a draft plus a list of questions the assistant couldn't answer.
Prompt You prepare quotes for my business. Using ONLY the price list and rules below, draft a quote for this request in the same format as the examples. Do not invent prices. List any missing information as questions for me. Rules: [paste] Price list: [paste] Examples: [paste] Request: [paste]
- 04
Review, then send
Check the line items and the questions, fix anything off and send it from your usual system. Keep a note of every correction; they become new rules.
What breaks
- Prices drift because the price list in the prompt is out of date. Keep one current copy.
- The draft sounds right but misses site-specific costs. Always read the questions list.
Keep it safe
- Nothing goes to a customer without your review.
- Don't paste customer addresses or phone numbers into tools that train on your data.
How you'll know it worked
- Time from request to quote sent.
- Quote acceptance rate.
- Corrections per quote, which should fall each month.
