The steps

List the tools people already use
Ask the team, without blame. Most businesses find more AI tools in use than they expected.

Sort your data into three levels
Public (website copy), internal (prices, processes) and sensitive (customer details, financials, health or legal information). Sensitive data only goes into approved tools with training on your data turned off.

Write the rules
Five or six plain rules: approved tools, what data goes where, a human checks anything customer-facing, AI output is labeled where it matters, and who to ask when unsure.
